Christmas Toolkit for Church Media Teams: A Countdown Plan and One Tool per Job

Christmas Eve is the biggest guest night of the year, and the mailer is due weeks before. Here's a countdown plan and one tool for each job, from series to stream.

Updated

The short answer: our top picks

Start with a Remix Church Media sermon series, which we make: one pack gives your Christmas series its title slides, notes slide and social posts. Radiant Printing mails the Christmas Eve invite, Church Ink prints cards your people hand out, and Church Banners covers the street. WorshipHouse Media sells single Christmas videos, BoxCast schedules the streams, Clearstream follows up with guests and Buffer posts while you're off.

Eight weeks out

  • Choose the Christmas series first. The mailer, the cards and the banner all borrow its look, so nothing else can start until it's settled.
  • Start the mailer with Radiant Printing. Direct mail artwork and payment are due four weeks before the in-home date, and Radiant recommends five to six.
  • If you used our Easter toolkit this spring, find the list of what ran late and fix those first.

Six weeks out

  • Send the mailer artwork and payment. Done now, the cards can land in mailboxes about two weeks before Christmas Eve.
  • Pick the Christmas Eve video and countdown. If a WorshipHouse Media mini-movie will play in your stream, add the Web License before checkout.

Four weeks out (the series starts)

  • The Christmas series goes on the screens and in the feed this Sunday.
  • Order the street banner from Church Banners. Proofs come back within one business day and printing takes 2 to 3 business days after you approve, but plan on two weeks with revisions and shipping.
  • Try your streaming setup on a normal Sunday, not on Christmas Eve. BoxCast offers a 14-day trial after a demo, with no credit card.

Two weeks out

  • Order invite cards from Church Ink. Postcards take 2 to 4 business days once your file is ready or your proof is approved, plus shipping, and weekends don't count.
  • Hand the cards out the next two Sundays.
  • Set up a text-to-join keyword and welcome workflow in Clearstream, then text it yourself to test.

Christmas week

  • Schedule the week's posts in Buffer before the team leaves: service times, a Christmas Eve reminder and a Christmas Day thank-you.
  • Schedule a stream for each Christmas Eve service, then run one service start to finish with slides, video and countdown on the booth computer.
  • Put the text keyword on the welcome slide and have the host say it out loud.

After Christmas

  • Let the follow-up texts run and answer replies from the shared inbox.
  • Save the series files and the Christmas Eve recording where next year's team will look.
  • Write down what ran late while you still remember.

Watch out for

05For a single Christmas Eve video

WorshipHouse Media

Watch out for
Mini-movies need a Web License option to stream

06For streaming several services

Watch out for
From $109 a month billed yearly; encoder costs extra

07For following up with guests

Clearstream

08For posting while the team is off

Christmas week is when your team should be with family, not posting from the couch. Load the invites, service times and reminders into Buffer's calendar ahead of time. The free plan covers three channels, and nonprofits get 50% off paid plans.

Price
Free for 3 channels; paid from $5/mo per channel yearly (Oct 2026)
Watch out for
Free plan holds only 10 scheduled posts per channel

How we chose

  • Orderable in time

Can you get it before Christmas Eve? We noted lead times from mailers due a month ahead to cards that print in a few days.

  • Worth it for one big night

Free plans, per-item purchases and trials where they exist, so you don't sign up for a year to cover one service.

  • Easy for December volunteers

Could someone who only helps at Christmas pick it up without a training night?

  • Checked at the source

Prices, lead times and licenses come from each vendor's own site, checked in October 2026.

Questions churches ask

FAQ

When should a church start planning Christmas media?

About eight weeks before Christmas Eve, in late October. That leaves time to settle the Christmas series before mailer artwork is due, since Radiant Printing needs it four weeks before the in-home date and recommends five to six.

When should our Christmas series start?

Plan for it to start about four Sundays before Christmas, so the series graphics are on the screens and in your feed before the Christmas Eve invites go out.

How far ahead should we order a Christmas banner?

Give it two weeks from order to delivery. ChurchBanners.com proofs custom designs within one business day and prints 2 to 3 business days after you approve, and revisions and shipping take the rest.

Can we show a Christmas mini-movie in our livestream?

Only if the license allows it. On WorshipHouse Media, a mini-movie can go in your stream when the product page offers a Web License and you add it before checkout. Backgrounds and countdowns are already covered for online services.
